The Senior Manager of Privacy & Records Management  is responsible for centrally managing privacy/data protection and records management policies and programs to protect the confidentiality, integrity and availability of information assets. This role will provide strategic direction as well as tactical operations and assistance to align with business priorities.

 

Additionally, this position works cross functionally to develop enterprise privacy policies and standards, manages their governance, aligns these with overall enterprise wide strategies and practices, and drives implementation projects while ensuring consistency of privacy policies and standards with corporate policy. This role is responsible for project managing enterprise wide implementation plans, supporting the development of corporate policies and standards.  

 

Duties include:

Management and Coordination:

  • Coordinates the development, implementation, and ongoing refinement of Univar’s Records Managements & Global Privacy strategy and associated policies.
  • Ensures corporate compliance with national and local privacy regulatory and European Union Safe Harbor requirements.
  • Provides periodic status reports and updates to the Compliance Committee.
  • Organizes and manages a Records Management & Global Privacy Working Group to ensure relevant stakeholders are involved in policy development and implementation.
  • Coordinates and serves as the point of contact for internal and external consulting projects.

 

Regulatory and Process Change Management:

  • Monitors changes and developments in applicable regulations and laws, and interfaces with Legal and other applicable departments to update policies, procedures and legal cross border data transfer mechanisms as necessary based on these changes and developments.

  • Maintains a list of processes, systems, third parties, and supporting infrastructure involved with the collection and/or processing of personal information. Works to coordinate and align multiple processes and systems under a One Univar approach
  • Works with the litigation SME in the Univar Legal Team to coordinates litigation hold processes, including imposition, management and release of such holds.
  • Tracks and coordinates requests for exceptions to the records management & global privacy policy and procedure templates in local jurisdictions.

 

Monitoring and Reporting:

  • Executes periodic privacy risk assessments, associated reporting, and defines remediation activities, including engagement of 3rd parties
  • Develops and implements privacy metrics and mechanisms for monitoring and reporting on those metrics
  • Manages, coordinates, and supports external communications with regulatory agencies, data protection authorities and other entities for privacy-specific issues.
  • Leads and coordinates response to an investigation of privacy related incidents.
  • Inputs incidents in Compliance Hotline and uses that platform to manage investigations
  • Monitors and confirms that registrations with Data Protection Authorities are completed and kept current.
  • Monitors and coordinates interactions with Works Councils regarding privacy and data protection related issues.

 

Records Management:

  • Locates inventories and develops program to harmonize all local records management, programs and policies.
  • Variety of analytical and administrative duties involved in the development, implementation, and administration of the District's records management program.
  • Conduct research, compile and analyze data, and make appropriate recommendations to improve the efficiency and effectiveness of operations to ensure compliance, legal retention of physical and electronic records, and advising on record keeping requirements. Provided operational guidance, training, and subject matter expertise
  • Work with business operations and functional groups to develop, harmonize and coordinate strategy to consolidate data repositories
  • Manage processes and technologies to support privacy and records management including development and maintenance of document management systems, oversee on-site archives and off-site storage facilities, collaborating on knowledge management initiatives, and leading the effort to standardize global records retention schedules.

 

Requirements are:

 

  • BA or BS in information technology, business or accounting
  • 7+ years professional experience including relevant privacy and records management experience, preferably in a global environment
  • In-depth experience with and knowledge of privacy and records management principles
    • Privacy and data protection concepts, principles, leading practices, laws and regulations, including:
    • Privacy governance and operating models
    • Development and management of a global privacy office and organization
    • Records management systems
    • International privacy regulations
    • Cross border data transfer mechanism implementation
    • Development and monitoring of key privacy and records management related metrics
  • Track record of success in managing multiple complex projects simultaneously
  • Demonstrated ability to collect and analyze complex data, evaluate information and systems, and draw logical conclusions
  • Experience leading cross-functional teams and committees
